Project Breakdown

• Problem:

The clinic relied on manual form checks, inconsistent insurance file handling, and lacked a unified view of upcoming appointments. New and existing patient records were mixed, and appointments weren’t easily tracked, creating friction for both staff and patients.

• Solution:

We designed a conditional automation system triggered by patient form submissions. If the patient is new, the system logs their details to a Google Sheets CRM, creates a personalized Google Drive folder, and uploads their submitted insurance document. All appointment submissions—regardless of patient type—are also logged as Google Calendar events, giving the clinic clear, real-time visibility into bookings.

• Outcome:

Appointment intake is now centralized and automated. Staff can view bookings directly in their calendar, patient records are automatically structured, and all insurance documents are filed correctly. The clinic handles appointment requests efficiently, with full traceability and zero manual intervention.
