Lab Appointment & Results Notification Automation
A fully automated lab booking and follow-up system designed to reduce admin overhead and enhance patient communication. The flow books appointments, registers new clients into the CRM, syncs events with Google Calendar, and alerts patients once results are ready—ensuring smooth clinic operations with minimal manual effort.
Project Breakdown
- Problem:
Manual appointment tracking and patient communication slowed down operations. Staff had to check emails and spreadsheets to find booking info, leading to missed follow-ups, duplicate records, and no easy way to alert patients when lab results were ready.
- Solution:
We built a HIPAA-compliant automation that starts from a website-embedded form. New patients are automatically added to the GoHighLevel CRM and assigned a Google Drive folder. Appointments are logged into Google Calendar. When test results are ready, the doctor updates the patient status in the CRM—triggering automated email and SMS alerts.
- Outcome:
Appointments, records, and notifications are all handled from a single flow. The clinic has full visibility over patient data, improved response times, and reduced staff workload. Result follow-ups happen instantly and reliably—without chasing calls or sending manual emails.
